How to write a useful business prompt

Specify the task, approved context, constraints and review criteria.

In brief

What makes a useful business prompt?

A useful business prompt specifies the task, audience, approved context, constraints and expected output format. Tell the tool how to mark missing facts, then check the result against the source and your quality criteria. Revise the instructions when the output exposes a gap.

State the task

Ask for one clear deliverable and explain who will use it. A report for a decision-maker needs different information from a brainstorming list.

Provide approved context

Include facts and examples the model is allowed to use. Remove information that should not go into the selected tool.

Set boundaries

Tell the model what to preserve, what not to infer and how to mark missing information. For example: use Not specified when no deadline is supplied.

Choose a useful format

Request a table, checklist or draft with the fields needed by your workflow. Format makes review easier; it does not establish truth.

Review and iterate

Compare the response with your criteria and source material. Correct the instruction or context when the output reveals a gap.

This guide describes a general working approach. It does not claim that a particular tool or AI implementation guarantees a business outcome.

Apply the guidance

How can you put this guide into practice?

Choose one task owner and a small permitted example. Write down the expected output, who will review it and what would make the result unsuitable for use. Run the exercise, record corrections and decide what must change before repeating it.

Keep the first version easy to inspect. Do not treat the example as evidence that an entire process can be automated or that a particular tool is appropriate for every kind of information.
