Identify the account and experience
Ask the tenant administrator which Copilot capabilities the cohort can use and whether different groups have different access. Record the work account, permitted app and relevant configuration without collecting passwords. Product names and available experiences can change, so use a recent check in your own environment alongside Microsoft’s documentation. A screenshot of the intended entry point can help the trainer plan the demonstration.
Test the complete exercise path
Have a representative participant open the approved sample file, reach the intended assistant experience and attempt the small practice task. Test from the device and network they will use during training. Check that the trainer can demonstrate the same objective and that the exercise does not depend on information the participant cannot access. Record any workaround and whether it changes the learning goal.
Choose information deliberately
Use synthetic material when a task can be taught without live customer, employee or commercial data. If real material is needed, obtain the appropriate internal approval and define the handling rules. Remove irrelevant details before the session. Do not ask participants to change permissions or paste confidential information just to make a classroom exercise work; an access gap belongs with the designated owner.
Prepare people as well as software
Confirm role, baseline experience, preferred language and accessibility requirements. Identify who can answer technical access questions and who can approve a task-specific interpretation. Managers should protect time for hands-on practice rather than scheduling the workshop alongside normal service duties. For online delivery, provide the materials in advance and make the help route clear to participants joining remotely.
Make a clear go or revise decision
Keep a short readiness log with the planned task, successful check, unresolved issue and responsible owner. If a key dependency is missing, revise the activity or date instead of improvising an unsupported promise. Recheck access when the cohort, app or tenant setup changes. The checklist supports workshop planning; it does not certify that the organization’s wider deployment, permissions or governance is complete.
